In short
- We collect what you send us and what we need to do the work you ask for.
- We do not sell your information, and our website has no advertising cookies or trackers.
- When we work on your systems, your data stays yours, and we use it only for that work.
- You can ask us to see, correct, or delete your information at any time.
01Who we are and what this covers
Highview Logic, LLC (“Highview Logic,” “we,” “us,” or “our”) is an IT services company based in Virginia. This policy explains how we handle personal information when you visit highviewlogic.com, contact us, or use our services, including onsite work, remote support, monitoring, backups, integrations, custom software, and any online portal we give you access to.
If you are a client, your proposal or service agreement with us may include additional privacy or confidentiality terms. Those terms apply alongside this policy and control if the two conflict.
02Information we collect
Information you give us
- Contact details, such as your name, business name, email address, and phone number.
- What you tell us about your business and technology when you request a quote, call, text, or email us.
- Billing details, such as a billing contact and address. If you pay by card or bank transfer, the payment is handled by our payment processor or bank, and we do not store full card numbers.
- Sign-in details and other access information you share so we can do the work you have asked for.
Information collected when you visit our website
Our website is deliberately simple. It does not use advertising cookies, tracking pixels, or advertising tools. A few services are involved in showing it to you:
- Cloudflare hosts and protects the site. To deliver pages and block abuse, Cloudflare processes technical information such as your IP address, browser type, and the pages you request. It may set strictly necessary security cookies, for example to tell people apart from automated traffic.
- Cloudflare Web Analytics gives us aggregate statistics, such as page views and which sites referred visitors. It does not use cookies or local storage and does not fingerprint visitors.
- Google Fonts provides the site’s typefaces. Your browser downloads the font files from Google, so Google receives your IP address and basic browser information. Google says these requests do not use cookies.
- The quote form sends your message to us by email. We use what you enter only to reply to your request.
Information we handle while providing services
Depending on the work, this may include:
- Device and network information from the monitoring and remote support software we install with your authorization, such as device names, hardware and software inventory, operating system and update status, IP addresses, health and performance data, and event logs.
- Records of remote support sessions, such as who connected, to which device, when, and what was done.
- Information stored on the systems we support, such as files, email, and sales, inventory, or accounting records. We may see or handle this data while installing, migrating, troubleshooting, or backing up systems, and we do not use it for anything else.
- Data from accounts you connect for an integration, such as accounting, point-of-sale, e-commerce, or productivity services, accessed through those services’ official connections.
- Account information for any portal we give you access to, such as your name, email address, sign-in credentials, security settings, and a log of sign-ins. Passwords are stored in hashed form, never in plain text.
03How we use information
- To respond to questions and quote requests, and to schedule calls and visits.
- To plan, deliver, and support the services you ask for, including monitoring, maintenance, backups, and troubleshooting.
- To send invoices, collect payment, and keep business records.
- To keep your systems, our systems, and our website secure, and to detect and prevent fraud and misuse.
- To send service messages, such as appointment confirmations, alerts about your systems, and changes to our services or terms.
- To understand, in aggregate, how our website is used so we can improve it.
- To comply with the law and enforce our agreements.
We do not add you to marketing lists without your permission.
04Your systems and data
When we work on systems that belong to you or your business, the data on them remains yours.
- We access your devices and data only as authorized by you or your organization, and only to do the work you asked for or that your support plan covers.
- We do not sell client data, use it for advertising, or use it for any purpose unrelated to your services.
- Access is limited to the people at Highview Logic who need it to do the work.
- Data from a third-party service you connect, such as an accounting or point-of-sale platform, is used only to provide the integration you requested and is handled in line with that platform’s developer terms.
- When our work for you ends, we remove our monitoring and remote support software or help you remove it, hand over credentials and documentation, and return or delete copies of your data held on our systems, unless the law requires us to keep them.
If someone asks us about personal information stored on your systems, we will refer them to you and help you respond.
06Text messages
If you text us or agree to receive text messages from us, we use your mobile number to reply and to send messages about your service, such as appointment reminders and support updates. Message frequency varies, and message and data rates may apply. You can opt out at any time by replying STOP or by telling us. For help, reply HELP or contact us using the details below.
We do not sell or share mobile numbers or text-messaging consent with third parties or affiliates for their marketing purposes.
07How long we keep information
We keep personal information only as long as we need it for the purposes in this policy.
- Inquiries that do not lead to work are kept while we follow up on your request, then deleted when no longer needed.
- Client records, such as contacts, proposals, invoices, and service history, are kept for the length of our relationship and afterward for as long as needed for tax, accounting, legal, and warranty purposes.
- Monitoring data, session records, and backups we hold for you are kept according to your service plan, and are returned or deleted when our services end.
- Website logs and analytics are kept by Cloudflare for the periods it sets.
08How we protect information
We use administrative, technical, and physical safeguards suited to the information we hold, including encrypted connections, multi-factor authentication where available, access limited to the people who need it, and keeping our own systems updated and monitored. Our remote support and device management platform runs on servers we operate.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you as required by law.
09Your choices and rights
You can ask us to:
- Tell you what personal information we have about you and give you a copy.
- Correct information that is inaccurate.
- Delete information we hold about you, except records the law requires us to keep.
- Stop sending you marketing messages, if you receive any.
Some laws, such as the Virginia Consumer Data Protection Act, give residents of certain states these rights formally. We honor reasonable requests from anyone, whether or not such a law applies. To make a request, contact us using the details below. We may need to verify your identity first, and we will respond within 45 days. If we decline a request, we will explain why, and you may ask us to reconsider.
If your request concerns data on systems we manage for your employer or another business, we will refer it to that business, which controls that data.
Our website does not track visitors across other websites, so it treats every visitor as if a Do Not Track or Global Privacy Control signal were turned on.
10Children’s privacy
Our website and services are meant for businesses and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we will delete it.
11Where information is processed
We are based in the United States and store and process information here. Some of our service providers operate internationally and may process information in other countries.
12Links to other websites
Our website and messages may link to other websites and services, such as manufacturer or vendor sites. Their privacy practices are governed by their own policies, not this one.
13Changes to this policy
We may update this policy as our services or the law change. We will post the updated version here and change the date at the top. If we make a significant change, we will email our clients before it takes effect.
